Personal and postal mail submissions are accepted by the school at the above location. In the event that the document received in analogue form is incomplete or illegible (damaged) and it is possible to identify the sender of the document and his/her contact details, the sender will be notified of the defect detected and further procedure for its removal will be determined. If the defect cannot be removed or if it is not possible to identify the sender of the document and his/her contact details, the school will not process the document further.

To expedite the processing of incoming submissions, please include the date and form of your submission, or other document identifiers known to you (especially your file number or file number).

Study Department:

The data report (digital submission) can be delivered:

  • via the data box information system (maximum size of one data message is 20 MB)
  • by sending an e-mail message to the electronic address of the filing office (maximum size of one data message is 20 MB)
  • on a portable technical medium - CD, DVD, USB flash drive (maximum file size is 20 MB). The content of the medium must not contain malicious code. If such code is detected during a security check carried out before the start of the reception, the submission will not be accepted. If a data carrier containing a malicious code is received in the mail, it shall be disposed of securely. The delivered medium is returned only upon explicit request made at the time of submission to the mailroom
    These rules apply both in case of personal submission and when the medium is delivered in mail or by courier.

Accepted data message formats:

Static text documents and static combined text and image documents:

Where the sender of a document is legally acting or performing an act in relation to the school, the document must be submitted only in PDF format, version 1.7 and higher, bearing an electronic signature or seal in accordance with the obligation imposed by specific legislation. An exception is the implementation of the act in accordance with the procedure pursuant to § 18 of Act No. 300/2008 Coll., on electronic acts and authorized conversion of documents. Even in this case, however, the document must be in PDF format. Attachments to the submission may be in one of the following formats:

  • PDF, version 1.7 and higher
  • PDF/A, ISO 19005
  • RTF
  • DOC
  • DOCX
  • XLS/XLSX
  • PPT/PPTX
  • ZFO

Static image documents:

  • PNG, ISO/IEC 15948
  • JPEG/JFIF, ISO/IEC 10918

Dynamic image documents:

  • MPEG-2, ISO/IEC 13818

Sound Documents:

  • MPEG-1 Audio Layer III or MPEG-2 Audio Layer III (MP3)
  • Waveform audio format (WAV) data format, Pulse-code modulation (PCM)

Database:

  • XML, where part of the transmitted document in XML data format is a description of its structure using XML Schema or Document Type Definition (DTD)

E-invoices:

  • isdoc/isdocx (Information System Document) version 5.2 and higher

Additional data formats may be delivered on a data carrier upon agreement with the appropriate school department. The same rules apply in the case of files exceeding the size limit for data messages.

Data message delivery:

If multiple electronic files are included in a single submission, it must be clear from the submission which file is the actual submission and which files are attachments.

Resolution of data message defects:

If a data message cannot be displayed in a user-readable manner (e.g. it is illegible) or contains a data format that is not accepted by the school, it is not accepted by the filing office and the sender, if known, is notified of this fact. If the sender fails to rectify the defect in the data message, the submission shall not be processed further. Data messages containing malicious code that is capable of causing damage to the information system or to information processed by the public authority are eliminated by the school's security tools and are not accessible to the mailroom. Therefore, in such a case, the sender is not sent a confirmation of the delivery of the data message.

In light of the above, please note that the email address vspj@vspj.cz is not the primary email address for proving delivery of a data message. The school's data box (data box ID w9ej9jg) is intended for this purpose.

Receipt of data message:

The message confirming the delivery of a mail message, sent upon receipt of the message from the school mailroom, confirms the actual availability of the message to the mailroom and the start of its processing. It is therefore not a confirmation of the fulfilment of the requirements for submission under other legislation. If the data message is found not to have the prescribed requirements in this sense or if it suffers from other defects, the submitter will be requested to remove them, and will be given a reasonable period of time to do so. If the school fails to remove the defect in the document received in cooperation with the sender within the time limit set, the document shall not be processed further. In the event that, after sending a data message to the vspj@vspj.cz email address, you do not receive a confirmation of receipt of the data message, your submission is not available to the mailroom and therefore cannot be processed by the school. If you have complied with all of the above conditions in preparing your data message (including the implementation of an anti-virus check before sending the data message) and you have not received confirmation of receipt of your data message, please contact the mailroom by phone at +420 567 141 179.

Acknowledgement of delivery of a data message placed in the school's data box, is handled using the status messages of the Data Box Information System.

Sample of a confirmation mail message sent to vspj@vspj.cz: Your message has been received into the system under the identification: year/registration number, e.g. 22/00297.
